How does it work?

UpSheets provides the ability to import your data from BrightHR and then upload it to Xero. Depending on your process, there may be a small amount of setup required, but for many users everything is ready to go.

The process is:

Run an report in BrightHR to export a CSV file with your data
Import the file into UpSheets
Validate the file to check everything is correct
Upload the data to Xero
Optionally approve timesheets and create pay runs from UpSheets

Earnings Rates

The options available for determining the earnings rate are selected when importing a file by selecting the Earnings Rate field:

Default Value

This setting will apply the selected value to the entire file.

To enable it, set the Earnings Rate field to the value you wish to default, such as Ordinary Hours. No earnings rate needs to be provided in the file and this value will be used for every line.

Employee Ordinary Earnings Rate

This setting will apply the Ordinary Earnings Rate set on the Employment tab for each employee.

To enable it, set the Earnings Rate field to Use default Earnings Rate for each Employee

Provided in the File

This setting indicates that a column in the file will be used to determine the earnings rate.

Typically the value would contain a value that matches an Earnings Rate in Xero. However, UpSheets also allows you to map any value in your file to an Earnings rate in Xero. Once created this mapping will be automatically applied. For example, the value Shift could be mapped to Ordinary Hours. Whenever the file has a type of Shift, Ordinary Hours would automatically be used instead.

Smart Formulas

If you have a more complicated scenario or award that cannot be satisfied by the previous options - Smart Formulas can be used to determine the Earnings Rate based on the date, time of day. They also include in depth functionality to include allowances, minimum engagement, broken shifts and many other scenarios.

Adding/Removing Users from Your Xero Organisation

If you have added your Xero organisation via the Connect/Add Organisation, you are able to administer the access of other users.

Adding a User

To Add a User, click Manage, or select Organisations from the drop-down menu.

Click Manage on the Organisation you wish to manage.

Select Add User, enter an email address and then click Add User.

User access can be restricted to specific employees along with the ability to create pay runs and approve timesheets - click here for more details.

Removing a User

To Remove a user, click the Remove button and click OK to confirm your choice. If you wish to add the user again, you can do so using the above process.

When adding an UpSheets user to your organisation, they have full access to all employees and functionality.

After adding them, it is possible to limit the following:

Creating Pay Runs
Approving Timesheets
Access to selected Employees

Manage Access

To manage user access, navigate to the Organisations screen:

Click the Manage button next to the appropriate Organisation:

You will then see any assigned employees and can update their access individually by clicking Manage Access:

The Manage Access screen allows you to control the options the user has and which Employees they have access to. By default, all actions and employees are enabled. To restrict creating pay runs or timesheet approval, simply deselect the options.

To restrict access to specific employees, select those that the user should have access to from the dropdown. Those employees listed are the only ones that the user will be able to validate and upload data for. Any new employees will need to be added explicitly before they will have access.

To restore full access simply click clear all to reset the default options.

Question 4

Why can't I upload Payslip Adjustments in the UK?

Good question.

The short answer is that we don't know why this isn't allowed. Xero have not currently enabled this functionality for UK users. This means no apps can upload payslip adjustments to Xero.

Australian and New Zealand (which has an almost identical API) users have this functoinality enabled, so we would very much like Xero to turn it on for users in the UK.

Connect multiple Xero Organisations to UpSheets

Organisations

You can connect multiple Xero Organisations to a single UpSheets account.

To do so, simply select Organisations from the menu and click the Add Organisation button (see here for detailed steps)

You may also assign users to each organisation to give them access.

Billing

While there are no charges for adding additional organisations or users to your account, the usage for both will be added to your subscription for invoicing.

If you require separate invoices/accounts for each of your organisations, then you are required to create a different upsheets account and subscription for each one.

Do you give a discount for non-profits?

Get 25% off UpSheets for your non-profit or charity.

If you meet Xero's criteria, we will give you the same discount.

To claim your discount simply contact us and attach a copy of your Xero invoice showing your discount.

Refunds are not given for past invoices. Discount will apply from the start of your next billing period after we confirm your status.

Is it safe to connect to Xero / Can you see my password?

Accepted Answer

UpSheets connects to Xero using OAuth, which requires you to login to your Xero account and approve the connection.

UpSheets does not see, or store your Xero login details and has no access to your Xero account after you have finished using it.

After clicking connect - You can verify that you are indeed logging into Xero by looking at the address in your browser when you are redirected to login - it will be on the xero.com domain:

All data transmitted between you, UpSheets and Xero is secured using industry standard HTTPS/TLS encryption.

Managing your connection with Xero (and how to disconnect)

You can manage your connection at any time by clicking Manage next to your organisation name in the top right of the screen or selecting Organisations from the drop-down menu.

To Connect or Disconnect an organisation, click the desired button and UpSheets will connect/disconnect with Xero for you.

To permanently disconnect Xero form UpSheets, you must do so in Xero: Settings> Connected Apps> Disconnect App. This will remove all users from having any access to Xero and remove the ability for them to upload any files/data.

Can I use Unscheduled Pay Runs with UpSheets?

Accepted Answer

It is possible to use UpSheets to load data relating to an Unscheduled Pay Run - but it must be created BEFORE the file is validated (or revalidated).

If you do not create the Unscheduled Pay Run in advance, you may receive a 'Date not within current Pay Period' error:

To avoid this error:

Create the Unscheduled Pay Run in Xero covering the period you wish to upload data.
Optional - Add the Employee to the Unscheduled Pay Run by opening it and clicking the Included flag (only required if you wish to load Payslip Adjustments).
Import and Validate your file (or revalidate if you have already imported it).

The validation should now pass as UpSheets can see there is a Pay Run available for the employees.

Question 10

How do I view uploaded Timesheets, Leave, Adjustments or Projects in Xero?

After validating or uploading your file, you can open the transaction is Xero by clicking the appropriate button under 'View in Xero'

For NZ and UK organisations, most transactions can be viewed in Xero by clicking on the link in the transaction type column when viewing the upload data.

If you need to make changes in Xero, you can then retry the validation on the current file by clicking 3 : Validate Data in the top of the screen or in the Revalidate button.
